MASHARTI MAGUMU NAMNA YA KUPATA AJIRA TANZANIA, A MUST READ!!

Ni wazi kwamba soko la ajira Tanzania limekua gumu haswa hasa kwa wale wanaotafuta kazi. Ukisoma post zilizopita kuna mifano ya utapeli huo ambao kwasasa upo hapa Tanzania unaweza kuusoma HAPA na HAPA  Hata hivo nilichogundua ni kwamba kazi baadhi zenye masharti nafuu ndio za kitapeli. Hii imeongeza ugumu wa upatikanaji wa ajira.Lakini pamoja na hayo ugumu huo kwa upande mwingine umejaa Maswali  mengi na magumu na yasiyo jibika kirahisi. POSITION OBJECTIVE
To ensure all HR and administration activities are executed smoothly.


KEY RESPONSIBILITIES AREAS
1.     Preparation and maintenance of employee files
2.     Preparation of official letters
3.     Calculation of overtime and employee attendance for payroll.
4.     Preparation of payment vouchers
5.     Ensure compliance with various govt. agencies
6.     Ensure payment of various office bills
7.     Operating the front desk

KEY RESPONSIBILITIES AREAS
PRINCIPLE RESPONSIBILITIES


Preparation & Maintenance of Employee Files
·     Create a file for a new employee and color code it as per file creation process.
·  Ensure forms like leave record, employment offer, letter of guarantors and other relevant documentation is filed in the same file.
·   Prepare the contract for the employee as per terms agreed and get it signed by the Chairman, HR manager and employee.
·   The new employee files to be filed away into the filing cabinet according to department and in alphabetical order.
·   Ensure the resigned employee files are removed from the filing cabinet and put into the ex employee records
·   Ensure all employee files are updated at all times.


Preparation of Official Letters
·   Prepare official letters like warning, termination or any other special cases.
·   Ensure that the letters are signed by HR as well as employee who receive it.
·   Ensure all such letters are filed in the respective employee files.
·   Update the leave records of employees on a regular basis.


Calculation of Overtime & Employee Attendance
·    Calculation of employee overtime amounts and sharing the same for payroll purposes.
·  Review of monthly employee attendance to calculate late coming minutes of employees and share the same for payroll and disciplinary purposes.
·  Collection of leave forms and categorizing them into LOPs, leave record deductions and medical leaves before filing them.

Preparation of Payment Vouchers

·    Collection of various employee requests.
·  Prepare payment vouchers for employees on a case to case basis.
·   Ensure that it is approved by the necessary authority.
·   File the same in payment voucher file.
·   Record this in the payment voucher register.

Compliance with Govt. Agencies






Payment of Office Bills




Operating the Front Desk
·       Ensure that all new employees are registered with the necessary govt. agencies like NSSF and NHIF.
·    File all the necessary documents correctly and in order.
·    Overview payment of the same to the govt. agencies.
·    Assist employees or organization in any NHIF or NSSF related queries.
·    Ensure compliance with them at all times.

·   Ensure all office bills like electricity, telephone, maintenance charges, building taxes etc. are paid on time.
·   All the bills to be filed and stored properly for record and future reference purposes.

·    Carrying out front desk activities in absence of receptionist like attending phone calls, receiving guests and collecting office couriers and parcels.




Qualifications

·         Working knowledge of Microsoft Office package.
·     Bachelors Degree in Human Resources or its Equivalent
·     Good Knowledge of Tanzanian Labor Laws

·     Patience to listen and resolve employee queries.
·     Disciplined and confident
